Start with the process, not the software
List the business accounts your team depends on, who needs each one and where the current password is stored. This creates a useful baseline without making unsupported assumptions about technology.
Give access according to real responsibilities
Organise credentials by team or function. Give each person access to what they need, and review that access when roles change. A central record is easier to manage than copies across chats and spreadsheets.
Make offboarding part of normal operations
When someone leaves, remove their vault access and review the credentials connected to their work. Record who owns the process so it is not missed during a busy transition.
