Why a spreadsheet is not a password system
Excel is useful for an inventory, but copies quickly appear in email, downloads and backups. It does not provide individual access controls.
- One file often has one shared password
- Copies become outdated
- Leavers keep old files
Replace the risky parts first
Start with administrator, finance and customer-facing accounts. Move live credentials into controlled storage and delete unnecessary copies.
- Find every copy
- Rotate after migration
- Keep an owner and review date
